9. Maintenance & Upgrades
Regular Update Process
- Periodically apply product updates or patches released for SmartOfficeNXT.
- Update any workflow components or automation logic when new connectors/features are introduced.
- Always test updates in a safe staging environment before applying them to the live system.
Backup Policy and Retention
- Maintain regular backups of SharePoint content such as lists, libraries, configuration data, and uploaded files.
- Store backups securely as per organizational security guidelines.
- Retain backups for a minimum recommended duration (e.g., 90 days) or based on client policy.
- Ensure backup files are periodically validated to confirm data integrity.
Versioning and Release Management
- Maintain version numbers for application packages, workflow configurations, and UI updates.
- Record and track all enhancements, optimizations, and fixes in a version-specific release note.
- Adopt a controlled release process to ensure updates do not overwrite existing client configurations.
