Q1. How do I create a user account?

The user must be onboarded to SmartOfficeNXT by an admin or authorized personnel. For enterprise deployment, the user must have a valid Azure AD account in the same domain. Once onboarded, users can log in via the SharePoint-hosted platform.

Q2. How do I reset my password?

Password management is handled by your organization’s Active Directory. Users cannot reset passwords directly in SmartOfficeNXT. Contact your IT team if a password reset is needed.

Q3. Can I use Single Sign-On (SSO)?

Yes. SmartOfficeNXT supports SSO for organizations using Azure AD. Users with valid domain credentials can log in without creating a separate account.

Q4. Can I access SmartOfficeNXT on devices like desktop, tablet, and mobile?

Yes. You can access SmartOfficeNXT from desktops, laptops, and tablets with a web browser. Mobile devices are not currently supported.

Q5. What are the prerequisites for logging in?

Users need a modern web browser for SAAS. For enterprise deployment, users must have Microsoft 365 licenses that include SharePoint, Power Automate, Outlook, and Teams.

Q6. How is access controlled in SmartOfficeNXT?

Access is role-based. Admins can create forms, configure workflows, and view all records. End users are restricted to their assigned roles (creator, reviewer, approver, task performer) and can act only on their own records.

Q7. How do I request access if I don’t have an account?

Users must register through the company portal to gain access to SmartOfficeNXT.

Q8. What should I do if I get an “Access Denied” message?

Ensure your SmartOfficeNXT license is active. If the license is valid and you still face issues, contact the support team for assistance.

Q9. Can I have multiple roles assigned to me?

Yes, users can be assigned multiple roles within the platform.

Q10. How do I know which role I have on a form or request?

If you are assigned the Creator role, the form will appear in your dashboard. For roles like Approver, Reviewer, or Task Performer, the form itself may not be visible, but you will receive requests in your Pending Approvals section or can track them via Generate Reports or the Form Dashboard.

Q11. What happens if I forget my login credentials?

SmartOfficeNXT uses Single Sign-On (SSO) with your company credentials. If you forget your password, it must be reset through your organization’s authentication system.

Q12. Can I switch between multiple accounts or domains?

No, switching between accounts or domains is restricted. Each user can access only their assigned domain and account.
