2. Intended Audience

This user guide is intended for business users, process owners (individuals responsible for specific workflows or processes), department heads (leaders overseeing team operations), administrators, and IT support staff who are involved in designing, managing, or using custom business applications within SmartOfficeNXT. Whether you're creating forms, configuring workflows, setting SLAs, or analyzing reports, this guide provides the necessary instructions and best practices to help both non-technical users and technical administrators effectively leverage the platform for their operational needs.

End Users

SmartOfficeNXT is built to serve a diverse range of business users across industries. Common end users include retail banking operations teams, fund managers, compliance officers, HR personnel, finance teams, IT support staff, and other department-level professionals.

Its intuitive no-code interface enables non-technical users to build and manage workflows with ease, making it suitable for any sector, including banking, finance, insurance, healthcare, manufacturing, education, and government.

Within the platform, end users are assigned specific workflow roles to support structured business processes:

  • Creator: Submits new requests by selecting and completing the appropriate form.
  • Approver: Reviews and takes action on requests—approve, reject, or comment—based on predefined rules.
  • Reviewer: Verifies the content and completeness of requests before they proceed.
  • Task Performer: Carries out assigned tasks and updates the system, often triggering status changes.

Admins / Superusers

Admins or Superusers have elevated privileges within SmartOfficeNXT. They can create and manage forms, design workflows, access and download reports, and have full visibility into all records and forms across the admin organization. These users are responsible for platform configuration, user management, and ensuring proper governance and reporting across applications.
